AI Tools Landscape — What's Free, What's Worth Paying For
The Tools That Actually Matter
There are hundreds of AI tools. You need about five. Here's what works for Kenyan professionals in 2026:
ChatGPT (OpenAI): the most widely known. Free tier is useful; Plus at ~$20/month unlocks GPT-4o and file uploads. Best for: general writing, brainstorming, code help, image generation.
Claude (Anthropic): strong at long documents, analysis, and careful reasoning. Free tier handles most tasks; Pro at $20/month for heavy use. Best for: editing long documents, summarising reports, working with uploaded PDFs.
Gemini (Google): integrated with Google Workspace. Free with a Google account. Best for: working inside Google Docs, Sheets, and Gmail. The Workspace integration is the real advantage — it reads your Drive files.
Microsoft Copilot: built into Microsoft 365. If your workplace uses Word, Excel, and Outlook, Copilot works inside them. Best for: Excel analysis, PowerPoint generation, email drafting.
Canva Magic Studio: AI features inside Canva's design tool. Free tier includes some AI features. Best for: social media graphics, presentations, quick design work.
What AI Does Well (and Badly)
AI is excellent at: first drafts of any text, summarising long documents, reformatting data, translating between languages, brainstorming ideas, explaining concepts in simpler terms, generating variations of something you've written.
AI is unreliable at: current facts (it doesn't browse the web by default), maths beyond basic arithmetic, Kenyan-specific regulations (it knows the broad strokes but gets details wrong), anything requiring judgement about a specific person or situation, creative work that needs genuine originality.
AI is dangerous for: legal advice, medical recommendations, financial calculations you haven't verified, anything you publish without reading first.
The professionals who benefit most from AI are the ones who already know their field. AI makes a good accountant faster — it doesn't make a bad accountant good. If you can't spot the mistakes in AI output, you're not ready to use it professionally.
Never paste client data — names, KRA PINs, financial records, personal details — into a free AI tool. Free tiers often use your inputs for training. Use the tool's privacy settings or anonymise data before pasting.
Setting Up Your AI Workspace
Create accounts on ChatGPT and Claude — both free tiers are enough to start. Use a professional email, not your personal one.
Organise by project: ChatGPT and Claude both support named conversations. Create a new conversation for each client or project. Name them clearly: 'Client X — Monthly Report — Oct 2026'.
Save your best prompts: when you write a prompt that produces excellent output, save it in a Google Doc or Notion page. You'll reuse it dozens of times. This library becomes your competitive advantage.
Browser bookmarks: keep ChatGPT, Claude, and your prompt library in a bookmarks folder called 'AI Tools'. Open them at the start of every work session.
